To get more things done in less time - Part - 4

  • Only call a meeting when it is absolutely best way to accomplish an objective. Explore all other alternatives before calling a meeting.
  • Make the meeting short. Most managers say that at least one half of their meeting time is wasted. That averages out to 5 hours per week, 250 hours per year for each person involved.
  • Make it a goal to cut your meeting time in half. If people are prepared before they arrive, most meetings could be accomplished in half the time.
  • Write meeting objectives and the scheduled ending time on the board or flip-chart before anyone arrives. This will keep the meeting focused and eliminate the stress caused by overly long meetings.
  • If you are leading the meeting, sit at the end of the table so you can control the flow.
  • Make sure that every meeting is absolutely necessary. Routine meetings are not a good investment unless they fulfill, or move forward your objective.
    •  
    • Look for meeting alternatives. If you can accomplish objectives by telephone, save every one's time and palan aconference call.
    • Consolidate meeting with other meetings.
    • Make it a personal objective to attend face to face meetings less often.......why not start today?
    • Every meeting should have a published agenda answering most obvious questions. Why  am I investing time in this meeting? How long will it lost? Who is attending? What are the expectations?
    • If the meeting does not start in time, take the responsibility to say,"Hey ! It is 9 o' clock. let's get going. It is time to get started".
    • Invite only the people who have something to contribute to the meeting's objectives. There should be no "vacationers" or "slackers/hangers on" at the table.
    • Consider dismissing participants after they complete their portion of the meeting - as long as it is not important that they hear what is scheduled for the remainder of the meeting.
    • If you are asked to participate in some one else's meeting, communicate with the meeting leader, that you would prefer to attend only the portion that relates to you. When you have completed your "dog and pony",  ask if anything further is needed. If not excuse yourself .
    • Always have extra handouts available for your participants. Better to have too many than hold everything for want of those extra copies.
    • Start on time. If the meeting is to start at 8.38, begin at 8.38. One of the largest expenses that never appear on the income statement is the cost of meetings. Figure it out - four Rs.50000/- employees in a four hour meeting costs more than Rs.300/- in employee time. Respect the investment your meeting requires.
    • Most of the time, early morning meetings are best. People are fresher, the challenges of the day has not surfaced and the odds of every one arriving on time improve. 
    • Do not recap what has been covered for people who are late. Ignore them when they arrive and keep going. If you recap what has been covered, you reward the tardy person and punish the "on time ' folks. 
    • Take care of the most important item on the agenda first. If nothing else is accomplished. make sure you accomplish the most important reason for calling the meeting. 
    • Set time limits on how long you will allow people to 'sell" their products. a huge time waster is people who continue to fight losing battles. Set limits on the time allowed per item and move forward. 
    •  Do not serve breakfast and meet at the same time. They have never added to the productivity of a meeting. If the meeting starts at 9.00 A.M. serve breakfast at 8.30.
    • If meeting over lunch, cover general items that do not require focus. It is more productive to take a 30 minute lunch break than try to keep everyone's attention while serving/eating food.  If one of your objective s is to set the scene for social bonding, allocate your mealtime to that objective.http://img69.imageshack.us/img69/3049/k2030184.jpg
      • Complete all your agenda items  before moving to unrelated topics. Put important items not scheduled for the meetingon a "parking lot" flip chart for discussion later. The parking lot issues should be part of the minutes when they are distributed.
      • Appoint the last person who arrives for the meeting as the person responsible for taking the minutes. But they will show up on time for the next meeting.
      • Want to abbreviate meetings? Have a stand up session. Get rid of the chairs and put some podiums in the room. You are assured that everyone will stay awake and will want to get to the point quickly. 
      • Use a special bound note book to capture all meeting notes. This eliminates wasting time searching for what happened at the previous meeting.
      • Furnish extra pens/paper to avoid waiting for people who go back to their offices to retrieve supplies.
      • Never speak while you are writing, on the flip chart. Wait until you face the audience so you do not have to repeat what you are saying.
      • Use the flip chart to maintain the meeting's direction and to record who's responsible for action items.
      • Reward participants for telling the truth. If " messengers" are "shot down" for telling the truth, no "truthful messengers" will attend the next meeting.
      • Before leaving the meeting, don't assume anything! Do You really think everyone knows what they are supposed to do next? Recap, so everyone knows who is responsible for next steps, when action should take place and how results will be communicated.
      • End the meeting on time or END EARLY.  The minute you go past your slated time, stress levels rise and attention levels fall. Every one enjoys the pleasant surprise of getting out early.
      • Get organised! Call each participant the day before and confirm attendance. This may not appear to be good use of your time and it should be their responsibility. However, much more time is wasted when all but one person arrives at the meeting and you are trying to "round up that last person"
      • Do not allow time in meetings for solving hundred rupees problems when you are spending thousands of Rupees on the meeting. Focus on what is important.
      • The meeting is not over until the minutes have been distributed ( within two working days)and all action items have been accomplished 
      • Never leave a meeting wondering why you invested your time in the meeting. If the objectives were not accomplished, figure out what can be done differently to ensure that the next meeting does not end the same way. 
      • Distribute pre-work for participants. If each person could research for all other participants, you can save a significant amount of time for the entire meeting. 
      • Before leaving the meeting, create an action plan for all of the decisions that were made in the meeting. 
      • Control dominate participants by reinforcing that you understand their position and ask the dominating person to listen to other participant's point of view so that we can create a course of action. 
      • Make every meeting unique. Do something different for each meeting like changing the location, time or room lay out. Sometimes the small changes will add energy to the group.

        Why Ratan Tatas are important to this country?

        1. Relief and assistance to all those who were injured and killed
        1. The relief and assistance was extended to all those who died at the railway station, surroundings including the “Pav- Bha ji” vendor and the pan shop owners.
        1. During the time the hotel was closed, the salaries were sent by money order.
        1. A psychiatric cell was established in collaboration with Tata Institute of Social Sciences to counsel those who needed such help.
        1. The thoughts and anxieties going on people’s mind was constantly tracked and where needed psychological help provided.
        1. Employee outreach centers were opened where all help, food, water, sanitation, first aid and counseling was provided. 1600 employees were covered by this facility.
        1. Every employee was assigned to one mentor and it was that person’s responsibility to act as a “single window” clearance for any help that the person required.
        1. Ratan Tata personally visited the families of all the 80 employees who in some manner – either through injury or getting killed – were affected.
        1. The dependents of the employees were flown from outside Mumbai to Mumbai and taken care off in terms of ensuring mental assurance and peace. They were all accommodated in Hotel President for 3 weeks.
        1. Ratan Tata himself asked the families and dependents – as to what they wanted him to do.
        1. In a record time of 20 days, a new trust was created by the Tatas for the purpose of relief of employees.
        1. Whatg is unique is that even the other people, the railway employees, the police staff, the pedestrians who had nothing to do with Tatas were covered by compensation. Each one of them was provided subsistence allowance of Rs. 10K per month for all these people for 6 months.
        1. A 4 year old granddaughter of a vendor got 4 bullets in her and only one was removed in the Government hospital. She was taken to Bombay hospital and several lacs were spent by the Tatas on her to fully recover her.
        1. New hand carts were provided to several vendors who lost their carts.
        1. Tata will take responsibility of life education of 46 children of the victims of the terror.
        1. This was the most trying period in the life of the organisation. Senior managers including Ratan Tata were visiting funeral to funeral over the 3 days that were most horrible.
        1. The settlement for every deceased member ranged from Rs. 36 to 85 lacs [One lakh rupees tranlates to approx 2200 US $ ] in addition to the following benefits:
        1. How was such passion created among the employees? How and why did they behave the way they did?
        1. The organisation is clear that it is not something that someone can take credit for. It is not some training and development that created such behaviour. If someone suggests that – everyone laughs
        1. It has to do with the DNA of the organisation, with the way Tata culture exists and above all with the situation that prevailed that time. The organization has always been telling that customers and guests are #1 priority
        1. The hotel business was started by Jamshedji Tata when he was insulted in one of the British hotels and not allowed to stay there.
        1. He created several institutions which later became icons of progress, culture and modernity. IISc is one such institute. He was told by the rulers that time that he can acquire land for IISc to the extent he could fence the same. He could afford fencing only 400 acres.
        1. When the HR function hesitatingly made a very rich proposal to Ratan – he said – do you think we are doing enough?
        1. The whole approach was that the organisation would spend several hundred crore in re-building the property – why not spend equally on the employees who gave their life?

        1.     The new Commissioner of the IPL, replacing Lalit Modi, will be an IAS officer, 1989 batch, transferred from the Food Corporation of India

        2.     Mayawati will demand, however, that the new Chairman should be her own candidate,  Mr Dalit Modi.

        3.     The name of Mumbai Indians will immediately be changed to Mumbai Manus. It will, naturally, field only  Maharashtrians (preferably Maharshtrian Brahmins). All other players will have their legs broken. Zaheer Khan will have his house burned down. So will Irfan Pathan, Yusuf Pathan and Mohd Kaif.

        4.     The Chennai Super Kings team will renamed Dravida Cricket Kazhagam. Subsequently one faction will break away and the team will split into DCK (DMK) and AIADCK, owing allegience to Karunanidhi and Jayalalitha respectively

        5.     Each political party will have its own team: BJP Bandits, Congress Cobras, CPI  Cadres, Samajwadi Strikers, CPM Challengers, Trinamul Tigers etc

        6.     Auction of players will be replaced by teams calling for tenders for players. The lowest priced players will be picked.

        7. Cheerleaders will be replaced by honourable ministers who will give speeches during breaks in the match

        8.     Sonia Gandhi will insist that 30% of each team should be reserved for be women

        9.     Mayawati will demand that SC/ST players will need to run for only 18 yards instead of 22 yards between the wickets

        10.     Third Umpire requests will have to be filled in triplicate and duly notarized

        11.  All Third Umpire decisions will be referred to a Joint Parlimentary Commission.

        12.  IPL tickets will henceforth be available at all post offices and BSNL centers from 10 a.m. to 12.45 p.m. The facility to purchase tickets on your cell-phone will immediately be withdrawn

        13.  Replacing an injured foreign player can be done only through a Tatkal application submitted 48 hours after a Govt doctor examines him

        14.  Cheerleaders will be replaced by retired Air-India flight attendants.

        15.  These new cheerleaders will perform the folk dances of the states they represent during breaks

        16.  IPL matches will be shown only on Doordarshan. They will be telecast the day immediately following the match, from 4 a.m. to 7.30 a.m. and subsequently from 3.30 a.m. to 7p.m, subject to satellite link-up availability

        17.  Between each  innings break Doordarshan will telecast the news in Hindi, followed by news for  the hearing impaired.

        18.  Agricultural shots can be played only during the phase of the game termed "Krishi Darshan"

        19.  There will be no matches on weekends or on national/regional holidays

        20.  The three stumps will be painted saffron, white and green.

        21.  Bowlers will have to bowl sarpatti and ghasssarkundi balls to the reserved players.

        22.  Pakistan will immediately announce its intention to start its own version of the tournament called PPL and Mr Zardari will make a visit to Washington to meeet President Obama and seek an additional grant of $1 billion to fund it

        Is not India shining?

        The country, with 133 points, ranks next to United Arab Emirates [ Images ] (134 points) on the global trade confidence level index, according to the survey conducted by Hongkong Shanghai Banking Corporation (HSBC).
        Vietnam, with 132 points and Brazil [ Images ] with 129, are third and fourth respectively. France [ Images ], with 95 points, was 17th and last in the index, with a very low confidence level, HSBC India [ Images ] trade and supply chain head Bhriguraj Singh said in New Delhi [ Images ] on Tuesday.
        He said the survey had found that some markets, including Asia Pacific region, Latin America, Canada [ Images ] and Europe were in positive territory after the financial crisis.
        A total of 5,120 small and medium exporters globally were respondents for the findings and were asked for their outlook for the next six months, he said.
        He said emerging economies topped the index with 122 points against 106 points for developed markets.
        Stating that the confidence level among Indian exporters remained upbeat, he said trade confidence in India grew to 133 points from 117 in the second half of 2009, which reeled under the impact of the global financial crisis.
        Giving statistics, he said exports were around $12.4 billion in January 2009, but rose to $14.3 billion in January 2010.
        Similarly, exports in February 2010 also increased to $16.1 billion from $11.09 billion in February 2009.
        Exports in 2008-09 stood at $162 billion and marginally increased to $164 billion in 2009-10, he said.
        He said the survey had found that 60 per cent of Indian exporters expect finance from banks to increase in the next six months, while 59 per cent are confident of having access to finance through banks.

        Well-known vocalist T M Krishna concludes his Carnatic concert with the national anthem, leaving some pleasantly surprised, and some with raised eyebrows

        Well-known vocalist T M Krishna has kicked off a debate by singing the national anthem at the end of his concert with some individual ornamentation. While his Saturday concert at Sri Rama Seva Mandali was studded with the usual classical compositions, the concluding piece was completely unexpected.
        After requesting everyone to stand up, he broke out into Jana gana mana, singing it with some raga flourishes.

        Some thought concluding with the national anthem was a gimmick to earn a standing ovation. Music circles are agog with questions. Is it acceptable to present the national anthem in a classical concert? And, on the other hand, what stops a singer from singing the national anthem? And if a classical musician is given the freedom to interpret the national anthem his way, shouldn't similar liberty be granted to folk, rap and rock musicians?

        Many opinions came up. Pavan Duggal, Supreme Court advocate, said, Nobody can use the national anthem for commercial benefit. Singing it as an item in a ticketed concert, recording it for a commercial music CD, or making a ringtone is unwelcome.

        Two years ago, N R Narayana Murthy, chief mentor of Infosys, was pushed into a controversy for playing an instrumental version of the national anthem.

        There are many patriotic songs in the Carnatic music repertoire. The national anthem must be sung on occasions of national importance and not for entertainment, said Raghavan, a Carnatic music aficionado.

        At the Saturday concert at Rama Seva Mandali in Chamarajpet, senior citizens were uncomfortable about standing up for the song.

        Legal angles

        Lawyer Arun Mani quotes the guidelines for playing the national anthem. "It is okay to be seated when the anthem is played as a part of a programme, documentary or movie, but it is important that decorum be maintained," he said.

        Legally speaking, if a public interest case is filed against dishonouring the national anthem, the judge would have to estimate the damage and impose a punishment which could be up to three years of imprisonment or a fine or both, said Radha Harihar, corporate lawyer.

        The Prevention of Insults to National Honour Act will not apply in this instance, and moreover, the Ministry of Home affairs has left it to the good sense of the people not to indulge in indiscriminate singing or playing of the anthem.

        Constitutional expert B V Acharya said not singing the national anthem in the official tune would be `improper,' even if it did may not amount to an offence.

        "So long as there is no disrespect shown, singing the national anthem in any context is not an offence. But changing the tune is wrong and not befitting," he said.

        When the Vande Mataram tune was changed by A R Rahman, Acharya was upset because he had heard the older tune for a long time.

        "Now we are used to the new tune. But when it comes to the national anthem, no one can change the tune," he said.
        He conceded Krishna's intention was good, but said he should not set a precedent for others to meddle with the national anthem.

        Mandali takeVaradarajan, secretary of Sri Rama Seva Mandali, confirmed Krishna had sung the national anthem.

        "At the end of each programme a concluding number called the Pavamana is performed. This was the first time the national anthem was sung as the Pavamana. It was the same tune and he did not make any change or leave out anything. The bhaava (emotion) was the same, but he made minor improvisations on the raaga," he told Bangalore Mirror.

        `Spirit of nationalism'T M Krishna justified singing Jana gana mana, and said, "The rendition was purely an expression of the spirit of nationalism. "

        He said he was unaware of any law that prohibits the singing of the national anthem at classical concerts. About the style, he said, "In the version recently popularised by A R Rahman, many artists have performed the national anthem, and one can clearly see the artist in each rendition... similarly, I have not altered the tune, but you can find the musician T M Krishna in my rendition."

        He said the performance showed his "deep respect" for the national anthem.
